CRM and email marketing for coaches
Capture every lead, follow up automatically, and move buyers into onboarding, from the same hub that runs your community and courses.
A CRM with built-in email marketing keeps every lead and client in one place and sends the right follow-up automatically, based on what each person did.
For coaches, that means no lead goes cold while you are busy coaching, and no client keeps getting a sales pitch after they buy. The flow shown here is a real automation in our own E-STAGE CRM.

Follow-up that runs while you coach
Contacts, lists, and tags
Every lead, client, and member in one place, grouped with lists and tags you define, with suppressions handled for you.
Forms that feed your lists
Opt-in forms on your own pages add each person to the right list, with the right tag, the moment they sign up.
Visual automations
Start a flow when someone joins a list or is added by hand, then send emails and wait between steps on a visual canvas.
Broadcasts
Send one-off announcements, like a launch or a live session reminder, to a list or a segment.
AI that writes the email
Describe the email you want and the AI writes it in your project’s own design. Personalize it with merge fields like first name.
Clear numbers
See sent, delivered, opened, clicked, opt-outs, and complaints for every email, and enrollment and completion for every automation.
A simple system in three moves
- 1
Connect your forms
Each sign-up lands on a list with a tag, so you always know where someone came from.
- 2
Turn on a welcome flow
Three to five emails that deliver what you promised and point to one next step.
- 3
Hand off to onboarding
A purchase tags the buyer, moves them out of sales emails, and starts onboarding.
What it looks like in E-STAGE

01Your whole hub at a glance
The Hub Overview shows new leads, customers, total contacts, and community members, a health score for deliverability and integrations, and the growth journey from visitor to referrer. It even flags what needs attention, like leads who clicked an email.
02Every automation, with its numbers
Each flow shows its status and how many people are enrolled, waiting, completed, or exited. These are our own Mission 1000 flows: one active, three drafts ready to switch on.
03Reusable emails with real numbers
Messages are reusable emails. For each one you see sent, delivered, opened, clicked, opt-outs, and complaints, so you know which email works.
04Write it yourself, or ask the AI
The email editor has an AI chat: describe the email and it writes it in your project’s design. Merge fields like first name make each message personal. Nothing is sent or saved until you press Save.
Before you decide
- Good deliverability starts with a verified sending address on your own domain. Set that up before your first campaign.
- Every marketing email needs a working unsubscribe link and your business mailing address. Build them into your templates once.
- Start with three or four tags and one welcome flow. You can add complexity later; cleaning up a messy setup is harder.
Frequently asked questions
Do coaches need both a CRM and an email marketing tool?
Not if one system does both. A CRM with built-in email automations keeps each person’s history and decides what they receive, without syncing two tools.
What emails should a coach automate first?
A welcome sequence for new leads, an onboarding sequence for new clients, and a short re-engagement email for people who went quiet.
Can I personalize automated emails?
Yes. Merge fields insert details like the person’s first name, and tags let you send different emails to leads, clients, and members.
Can AI write my emails?
In the E-STAGE email editor you can describe the email in a chat and the AI writes it in your project’s design. You review and edit it before anything is saved or sent.
How do I keep buyers from getting sales emails?
Tag buyers when they purchase and use that tag to remove them from sales flows and start an onboarding flow instead.
Build a hub with 1,000 members
Every member of a community starts as a contact. Mission 1000 gives you one clear path, from launch to 10, 100, 250, and 1,000 members.
