How to schedule a Google Meet (Calendar, Meet, or a link for later)

Last reviewed: By Cluesfinders Editorial Team

Scheduling a Google Meet ahead of time sends everyone an invite with the video link already built in — no scrambling for a link at the last minute. You can do it from Google Calendar, from Google Meet itself, or just grab a reusable link for later. Here is each way, step by step, including from your phone.

Schedule from Google Calendar

This is the most common way, and it sends guests an invite with the link built in.

  • Open Google Calendar and click Create, then Event.
  • Add a title, date, and time.
  • Click Add Google Meet video conferencing.
  • Add guests by name or email, then click Save to send the invites.

Schedule from Google Meet

  • Go to Google Meet and click New meeting.
  • Choose Schedule in Google Calendar — it opens a calendar event for you.
  • Fill in the details and guests, then Save.

If you just need a link to send out, you do not have to create a calendar event at all.

  • In Google Meet, click New meeting.
  • Choose Create a meeting for later.
  • Copy the link and share it whenever and however you like.

Schedule on your phone

  • Open the Google Meet app and tap New.
  • Tap Schedule to open Google Calendar.
  • Enter the details and guests, then tap Save.

Invites and reminders

When you schedule through Calendar, guests get a calendar invite with the join link and a reminder before it starts. They can join from a browser, with or without a Google account.

Beyond a calendar invite

A calendar invite handles a meeting well. But for a public event — one with a registration page, automatic reminders, and a room that looks like your business rather than a generic call — a scheduled Meet link is not the right tool.

That is where a branded room or webinar fits, and for coaches and small businesses it is worth setting up separately.

E-STAGE email reminders 1 day and 1 hour before, plus one required booking question
What a calendar invite does not do on its own: in an E-STAGE meeting type you choose the email reminders, and the booking form asks name, email and your own questions.

When an invite isn’t enough

A calendar invite is fine for a meeting. For an event with a real registration page, reminders, and a room that looks like your business, a branded room fits better. See how white-label virtual meeting rooms work.
