How to secure a Zoom meeting (keep it private and in control)

Last reviewed: By Cluesfinders Editorial Team

When you invite clients, students, or a community into a Zoom meeting, they trust you with their time and sometimes with sensitive conversation. This guide covers the practical settings that keep a Zoom meeting private — controlling who gets in, staying in control while it runs, and handling recordings responsibly.

Lock down access before the meeting

Most privacy problems come down to who can get in. A couple of settings prevent the majority of them.

  • Require a passcode, or use a Waiting Room so you admit people deliberately.
  • Do not post private meeting links publicly, where they can be shared beyond your audience.
  • For sensitive sessions, use registration so you know who is joining.
E-STAGE CRM new meeting type: a 30-minute discovery call held in an E-STAGE video room
Access starts at booking. In an E-STAGE meeting type the call happens in an E-STAGE video room, and a fallback link is sent only after someone books, never shown before.

Stay in control while it runs

  • Once everyone has arrived, click Security › Lock Meeting so no one else can join.
  • Use the Security icon to turn off participant screen sharing, renaming, or chat if needed.
  • Know how to mute or Remove a disruptive participant before you need to.
  • Be mindful of what is on your screen when you share, so nothing private is exposed.

Handle recordings and data responsibly

A recording is sensitive by nature — it captures faces, voices, and whatever was discussed. Tell attendees when you are recording, store the file where access is controlled, and share replay links only with the people they are meant for.

Encryption in transit and a reliable platform keep the connection itself protected. Branding the room does not change that technical layer; it changes what attendees see while the platform handles security underneath.

Frequently asked questions

How do I stop uninvited people from joining my Zoom meeting?

Require a passcode or turn on the Waiting Room so you admit people yourself, and avoid posting the link publicly. Once everyone is in, use Security › Lock Meeting to block further joins.

What is a Zoom Waiting Room?

A holding area where people wait until the host lets them in. It gives you a chance to see who is joining and admit them deliberately, one by one or all at once.

Can you lock a Zoom meeting?

Yes. Click the Security icon and choose Lock Meeting once your expected attendees have arrived. After that, no one new can join even with the link and passcode.

Where should I store meeting recordings?

Somewhere with controlled access, and share replay links only with the intended audience. Treat a recording as sensitive, since it captures faces, voices, and the content of the session.
